The Data We Collect & Require

Whether you are booking as an individual parent/carer or submitting details as an external group setting, we collect specific information to safely deliver our outdoor programs.

Through our secure online booking platforms, we collect:

  • Identity & Contact Data: Child's full name, parent/carer full names, living address (including postcode), and a minimum of two emergency contact numbers.

  • Vital Care & Medical Data: Medical information relevant to your child, including symptoms, effects, and necessary medications.

  • Educational & Support Data: Behavioural, Special Educational Needs (SEN), and emotional information vital to ensuring appropriate care.

  • Media Data: Separate, explicit permission/consent to take and use photographs or videos of participants for marketing and advertising purposes.

How We Use Your Data

We process your personal information to carry out core business operations, including:

  • Booking & Administration: To confirm event bookings, process scheduling, and cross-reference permissions.

  • Safeguarding & Emergency Response: To look after children legally placed in our care and contact parent(s)/carer(s) instantly in emergency situations.

  • Marketing & Advertising: Where explicit consent has been given, we may use emails, mailing lists, and social media (such as Facebook, Instagram, and Twitter) to promote our programs.Our Strict Media Policy: Inside Out Education Ltd enforces a strict safeguarding rule that no child will ever be named by the company or our staff in any public marketing, photographs, or video advertisements.

4Group Bookings & External Settings

If you are an external group, school, or organization booking an event with us, your group lead is contractually obligated to secure all required permissions and informed consent from participants before attending.

This specific roster information must be uploaded to our secure platform no later than 7 days before your scheduled activity. No activities will be permitted to proceed until a signed External Setting Declaration Form is completed and submitted to us.

Legal Basis for Processing & Overriding Obligations

We process data under the legal grounds of Contractual Necessity (to manage your booking) and Explicit Consent (for marketing and photo use).

However, because we have a legal duty of care over young people, our statutory safeguarding obligations surpass standard privacy rights. In accordance with our Child Protection and Safeguarding, Health and Safety, and Whistleblower policies, relevant personal data or observed concerns will be shared directly with appropriate authorities or school staff if we identify a risk to a child's safety or public interest.

Data Retention | How Long We Keep Information

To remain adequate, relevant, and not excessive, we strictly manage our data timelines:

  • Consent & Booking Forms: All physical and digital individual consent forms are retained for exactly three years.

  • Data Destruction: At the conclusion of the three-year mark, these records are permanently destroyed, and associated marketing photos/videos are systematically removed from our active circulation.

Security & Third Parties

Your information is treated with total confidentiality. It is shared internally among authorized staff only on a strict need-to-know basis. We host our website and inventory on the Wix platform, ensuring that digital data capture is encrypted and secured behind industry-standard online safety measures. We do not rent, sell, or pass your information to third-party brokers.

Your Data Rights

Under UK data protection law, you have the right to request access to the personal data we hold about you, request corrections to inaccurate profiles, or withdraw your marketing/media consent at any time.
